How Keystone Learning Assessments handles the personal information of evaluation professionals and district contacts.

Version v1-2026-10 · Keystone Learning Assessments LLC, 1401 21st St Ste R, Sacramento, CA 95811 · [email protected]

Who we are

Keystone Learning Assessments LLC ("Keystone") provides additional psychoeducational evaluation capacity to California education teams. This notice explains what information we hold about evaluation professionals who join or are invited to join our professional network, and about education-sector contacts we work with.

Information we collect

  • Registration details you give us through our website: name, email, phone, location, professional status, self-reported credentials and experience, working preferences and availability, and your consent choices.
  • Publicly available professional information for outreach: name, professional role or practice, public contact details and the public source they came from (for example a professional directory or an official district directory). We record where each item came from and when we checked it. We do not infer or guess email addresses.
  • Correspondence with us, including replies to our emails, and records of what we sent and when.
  • Later, if you progress to project work: credential evidence, compliance documentation and contracting information, collected through a separate secure process and only where required for a specific assignment.

How we use it

  • To contact you about defined evaluation projects that may match your qualifications, availability and preferences.
  • To review suitability for specific work and to meet district, credentialing and legal requirements before any work begins. Registration does not mean clearance; we verify credentials separately.
  • To coordinate projects, communication and payment administration once work is agreed.
  • To keep accurate records of your contact preferences, including requests not to be contacted.

Outreach and your choices

We may send a small number of emails inviting professionals we have identified from public sources to discuss evaluation work. Every such email identifies Keystone, links to this notice and includes a working unsubscribe link; you can also simply reply "no thanks". We stop automated follow-ups as soon as you reply, register or opt out, and we keep a record of opt-outs so you are not contacted again. Optional "network updates" are only sent if you tick that box when registering.

Sharing

We do not sell personal information. We share it only with service providers who help us run our email, website and record systems under confidentiality obligations, and, where you progress to work, with the commissioning district or agency as required for that assignment. We do not collect student records through our website.

Retention

We keep network records while you remain in the network and for a reasonable period afterwards to meet legal, contractual and record-keeping obligations. Opt-out records are kept so that your choice is respected. You can ask us to update or delete your information at any time.

Your rights

You may request access to, correction of, or deletion of the personal information we hold about you, and you may withdraw consent to being contacted at any time, by emailing [email protected]. California residents also have rights under the California Consumer Privacy Act; we will respond to verified requests within the required time.

Cookies and analytics

Our website uses Google Analytics only with your consent via the cookie banner. Our outreach emails do not use tracking pixels.

Changes

We will post any changes to this notice on this page with a new version number. Questions: [email protected].
